A Year-End Communications Guide for Nonprofits
Year-end giving is not a single letter. It is a sequence of communications that builds on the relationship you have cultivated all year. The goal is to help donors understand the impact of their partnership, give them a clear opportunity to participate, and thank them well afterward.
A sample year-end communications timeline
Early fall - Inspire
Share one strong impact story before your main year-end appeal. Remind donors what their partnership is already accomplishing.
Mid-fall - Surprise and delight
Use a seasonal card, small partner gift, bookmark, or other thoughtful communication to strengthen the relationship without making an ask.
Before the primary giving window - Make the appeal
Send a donor-centered year-end appeal early enough that supporters have time to respond. Build in extra production and mailing time during the holiday season.
After the appeal - Engage and thank
Send thank-you notes, make personal calls when appropriate, and use email or digital updates to share progress.
December - Reinforce and reconnect
Share a year-in-review or Christmas communication that celebrates what donors helped accomplish and clearly explains any remaining year-end giving opportunity.
How to plan the appeal
Clean your mailing list. Update addresses and personalized fields before production begins.
Choose the audience. Decide whether the appeal should go to everyone or to specific donor segments.
Choose one powerful story. A specific changed life or meaningful outcome is easier to remember than a long list of accomplishments.
Center the donor. Explain what their partnership has made possible and what they can help accomplish next.
Make the ask specific. Give donors a clear reason and a clear next step.
Prepare the thank-you in advance. Do not wait until gifts arrive to decide how you will acknowledge them.
A simple year-end appeal framework
Open personally. Use a warm, conversational greeting.
Express gratitude early. Let donors know they are an important part of the story.
Share one story of impact. Show what changed this year.
Connect the donor to that impact. Explain how their partnership contributed.
Describe the opportunity ahead. Show what you hope to accomplish next.
Make a clear request. Ask for a specific action without unnecessary pressure.
Make responding easy. Include the appropriate giving link, envelope, slip, QR code, or other tool.
Close with gratitude. Reinforce the relationship whether or not the reader gives an additional gift.
Segment donors when it improves relevance
You do not need a complicated segmentation system. Even a few simple groups can help you communicate more personally:
First-time donors: affirm the impact of their initial gift and invite them to deepen the relationship.
Recurring donors: celebrate their steady, faithful support.
Lapsed donors: reconnect around shared impact and invite them back without making the message feel transactional.
Major donors: add a more personal touch, such as a handwritten note or phone call.
Prayer or non-financial supporters: honor the role they already play before presenting any financial opportunity.
Prepare your thank-you message now
Your thank-you is part of the campaign, not an afterthought. Keep it personal, mention the impact the gift will help make, and communicate genuine gratitude. For key donors, add a handwritten note or personal call.
